What to Expect When You Reach Out to Acceptance Clinic

Written by: Melinda, Acceptance Administrator

From your first point of contact (Administrator)

Reaching out for support isn’t always easy.

Whether you’re sending a quick email, leaving a voicemail, or filling out a form online, there’s often a moment before you hit “send” where your heart speeds up just a little. I want you to know, if that’s where you are right now, you’re not alone, and I see how much courage it can take to make that first step.

Chances are, I’m the first person you’ll connect with when you reach out to Acceptance Clinic. And I genuinely value that role. I’m the go-between for our associates and Nurse Practitioners and the people they support - which means I’m here to help you feel respected, cared for, and guided toward the next right step.

Here’s what you can expect from me (and from us):

You’ll hear back quickly

When you contact Acceptance, you can expect a response within 24 business hours, and often much sooner. If you’re reaching out during evenings, weekends, or holidays, it may take a little longer, but I keep a close eye on messages and will respond as promptly as possible.

Your information stays confidential

Your privacy matters. The information you share is treated with care and respect, and it remains strictly confidential within the clinic. You don’t need to worry about your message “floating around” or being shared outside of the people who truly need it to help support your care.

You’ll be met with compassion

Behind the email address and the phone line is a real person: Me!

I want you to feel met with kindness and steadiness from the very beginning. You don’t have to have the “perfect” words. You don’t have to explain everything all at once. You can take your time.

You only have to share what you’re comfortable sharing

When you first reach out, you’re welcome to share as much - or as little, as you’d like. Sometimes a sentence or two is all someone can manage, and that’s okay.

I may ask a couple of follow-up questions, not to pry, but to help with clarity. At Acceptance, we’re fortunate to have a team of associates and Nurse Practitioners, each with different specialties and strengths. My job is to support you in being matched thoughtfully, so you’re connected with someone who fits what you’re looking for.

Many of our providers offer a free 15-minute consult

If you’re not sure where to start, you’re in good company. Many people feel that way.

Most of our associates offer a free 15-minute consultation, which gives you a chance to ask questions, get a feel for their approach, and decide whether it feels like a good fit -without pressure.

If you choose to book, there’s a bit of intake paperwork

If you decide to move forward with an appointment, you’ll be asked to complete some intake paperwork. This helps your associate or Nurse Practitioner get a general understanding of what you’re seeking support with, and it means you won’t have to spend your first session trying to remember every detail from scratch.

I’m here for the practical stuff, too

Support doesn’t end after the first contact. I’m here to help with the day-to-day needs that come up along the way. Things like:

  • rescheduling appointments

  • answering general questions

  • helping with next steps

  • passing along information to your provider when needed

If you’re unsure what to do, you can always reach out and I’ll guide you. If I don't have an answer, I'll find out and get back to you as soon as I can.

Above all: You’re safe here

Acceptance Clinic is a safe space. We care deeply about the people we serve, and we aim to make every step - from first contact to ongoing care, feel supportive, respectful, and human.

So if you’re thinking about reaching out, but you’re nervous or unsure… Let this be your reassurance:

You don’t have to have it all figured out to begin.
You just have to start.

And when you do, I’ll be here.
